The communication process will be considered
effective when it achieve the desired result for both sender and receiver.
Therefore the following are the factors that are necessary for effective
communication.

1: Sender:
The sender is a person who composes and sends
the message. He may be speaker or writer. When he writes a message is a writer
but when he speaks is a speaker. The sender is a first factor of communication
process.
2: Encoding:
The process of putting the idea into a receiver
understands the message the putting of idea in a message it means that the
sender is also called encoder.
3: Message:
Message is the main body of communication and
composed by the sender. Message may be written or oral message. It contains the
topic or topics or problems that are shared between the sender and receiver the
sender should set a message in such a way that is easy in understanding for the
receiver, and the receiver easily draw conclusion from it. The objective of the
message must be mentioned in the message.
4: Channel/Medium:
The sending way of the message from the
sender to the receiver is known as medium or channel. The channel may be direct
or indirect. Direct channel are face to face communication, telephonic communication
and indirect channel are post office, fax and other means etc. for selecting of
any channel, the sender must see its cost, timed and benefit. The direct
channel may receive quick response to the sender.
5: Receiver:
Receiver is a person who receive the message
from the sender. He may be reader or listener. When he receive written message,
in such a case he is considered reader and when he receives the oral message he
is considered the listener. The receiver should read the written message carefully
to understand it.
6: Decoding:
The person he is taking idea from the message
to understand is known as decoding. This process is done by the receiver.
Because when the receiver the message may be open and read it. He starts
understanding the message and thinks what the sender wants in the message. The
receiver is also called decoder.
7: Feedback:
When the message is received by the receiver,
he read it and then gives reply to the sender this reply or response of the
receiver to the sender is known as feedback this is the final step in
communication process. If reply is not given by the receiver, it may create
confusion and mis-communication sometimes the silence is considered the feedback
but it's not good, because it provides two meanings. I.e. "yes" and
"No" communication is considered effective when feedback is given to
the sender.
